Privacy notice

Who I am

Daruma Children's OT is a trading name of Shamble to Stability Ltd (Company No. 16077288), which is responsible for your information. You can contact me at enquiries@darumaot.co.uk.

What I collect

  • Your name, email, phone number and postcode
  • Your child's first name, age and the concerns you describe
  • Health and development information, such as who your child has seen and what they said
  • Assessment notes, reports, goals and progress records once your child starts working with me

Why I use it

  • To reply to your enquiry and arrange appointments
  • To provide occupational therapy and keep clinical records, as required by the Health and Care Professions Council (HCPC)
  • To send invoices and keep financial records required by law

Under UK data protection law, I use your information to provide the service you ask for (contract). Health information is used to provide health care by a registered professional who has a duty of confidentiality, and with your consent when you first get in touch.

Who I share it with

I only share your child's information, such as a report for school or your GP, with your agreement. The only exception is if I'm worried about a child's safety, or the law requires it. In that case I'll follow safeguarding procedures. I never sell your information or use it for advertising.

I use trusted providers for email, secure record-keeping and payments. They store data securely and only act on my instructions.

How long I keep it

  • Enquiries that don't go ahead: deleted within 12 months
  • Clinical records for children: kept until the child's 25th birthday (or 26th if they were 17 when therapy ended), in line with NHS guidance for children's records
  • Financial records: 6 years, as required by HMRC

Your rights

You can ask to see, correct or delete your information, or ask me to limit how I use it. Some records must be kept by law. To make a request, email me. If you're unhappy with how I handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Booking terms

Free consultation

The first 15-minute chat is free, with no obligation to book anything.

Prices and urgent cases

  • Prices are the same on every day and at every time.
  • Urgent cases, where you need an appointment or written report within 5 working days, cost 50% more than the standard fee, subject to availability.

Deposit and paying

  • A 30% deposit is needed to book. Your booking is confirmed only once the deposit has reached my account.
  • The balance is paid on the day, straight after the appointment. For groups and session packs, the balance is paid after the first session.
  • Session packs can be used within 6 months, at whatever pace suits your child.
  • I'll send an invoice by email. You can pay by bank transfer or card.

No refunds or exchanges

  • Once a booking is confirmed, it can't be refunded or exchanged. This includes the deposit, group blocks and session packs.
  • If you miss an appointment or no one is home, the full fee is still due.
  • Missed group sessions can't be repeated, but I'll send you that week's home activities.

If I need to cancel

If I have to cancel, for example through illness, I'll move the session to another time or give you a full refund for it, including any deposit. If a group can't run, the options below apply. These terms don't affect your legal rights as a consumer.

If a group doesn't fill

Each group needs a minimum number to run: 3 children for groups of 3–4, and 4 for groups of 4–6. If a group isn't full one week before it starts, you can choose to:

  • move to the next group, or
  • switch to one-to-one sessions and pay the difference, or
  • have a full refund.

Reports

You get verbal feedback at the end of every assessment. The full written report follows within 15 working days (about 3 weeks). For early years assessments (ages 0 to 3), the written summary follows within 10 working days. If a report is needed sooner, for example for an EHCP deadline, please tell me when you book. I'm an occupational therapist, not a doctor. I can describe your child's skills and needs, but I don't make medical diagnoses. If I think your child would benefit from seeing a doctor or another professional, I'll tell you.

During sessions

  • A parent or carer must be at home during home visits.
  • For children under 8, a parent or carer stays on site during groups.
  • Please tell me about any health needs, allergies or recent changes before each block.

Travel

Travel within Lancashire and Greater Manchester is included. For other areas, travel is charged at cost, and I'll agree it with you before you book.

Concerns and complaints

If you're unhappy with anything, please tell me first and I'll do my best to put it right. I'm registered with the Health and Care Professions Council, and you can also raise concerns with them at hcpc-uk.org.

These terms are governed by the law of England and Wales. Last updated October 2026.
